Bob’s Motorcycles is looking for a detail-oriented and customer-focused title clerk and administrative assistant to support the daily operations of our dealership. This role is responsible for assisting the Finance and Sales Department with deal processing and documentation, while also handling bookkeeping and general administrative duties across the business. Workweek is Tuesday-Saturday, flexible hours are possible. If you’re organized, proactive, and comfortable juggling multiple responsibilities in a fast-paced environment, we’d love to hear from you.
Key Responsibilities
Finance & Sales Support
- Verify, assemble, and submit tag & title paperwork accurately and in a timely manner.
- Prepare deal jackets for units and maintain secure files for completed sales.
- Ensure all sales documentation is complete, compliant, and properly filed.
- Coordinate with lenders, MVA, and tag agencies as needed.
- Track and follow up on outstanding paperwork.
- Accurately input new motorcycle inventory and invoices in dealership management systems.
- Receive and enter tag & title invoices in dealership management systems.
- Take proactive measures to learn new title regulations.
- Maintain lot book and title binder.
- Process used motorcycle purchases, trades, and payoffs and prepare payments.
- Prepare and submit service contracts and other F&I agreements.
General Administrative Support
- Answer and direct incoming phone calls in a friendly and professional manner.
- Maintain organized filing systems (digital and physical).
- Assist management with reporting, data entry, and miscellaneous tasks.
- Support sales, service, and parts departments with administrative needs.
- Maintain accurate financial documentation.
- Assist with daily bookkeeping tasks as requested.
- Assist with month-end and year-end closing processes.
Other duties as requested
Requirements
- Previous tag & title experience, out-of-state experience strongly preferred
- Previous administrative or office experience; dealership experience a plus
- Strong computer skills including proficiency in Microsoft Office; VITU OLRS experience a plus
- Ability to work Saturdays
- High level of accuracy in all tasks
- Strong organizational skills and attention to detail
- Effective problem-solving abilities
- Ability to read and interpret documents such as sales agreements, procedure manuals, and tax and title regulations
- Basic accounting/bookkeeping knowledge and good math skills
- Ability to multitask and prioritize effectively and meet deadlines
- Excellent communication and customer service skills
- Reliable, self-motivated, and team-oriented
- Ability to pass criminal background check and drug test
